General Terms & Conditions

  • We reserve the right to refuse entry to Pontispool premises
  • We reserve the right to refuse any entry or booking
  • All visitors agree to report to the office/secretary on arrival and leave full payment or receipt of payment either with the secretary or in the office letter box before using any of the facilities
  • You use the facilities at your own risk and Pontispool Ltd cannot accept liability for any loss or damage in respect of your vehicle, equipment, personal valuables or property.
  • Prior to use, all persons must familiarise themselves with any fences they intend to jump and take into account the ability of themselves and their horse/pony.
  • It is an express condition of every person entering upon the facilities that he/she agrees, and if he/she is under 18 years of age, his/her parents and or accompanying adult also agree, that he/she does so at his/her own risk and voluntarily accepts the risk of injury or damage that is implicit in riding a horse on the premises.
  • All persons under the age of 18 must be accompanied by an adult at all times
  • No rider under 8 will be permitted to use the cross country course unless participating in an affiliated Pony Club event
  • Riders under the age of 14 will not be permitted to use the cross country course unless accompanied by an adult
  • No lone riders under 18 will be permitted to use the cross country course
  • Properly fitting hard riding hats, to current British safety standards, and footwear with heels must be worn at all times whilst mounted. Skull caps and body protectors, to current British safety standards  must be worn on the cross country course, gallop and for arena cross country (hard hats with fixed peaks are not permitted on the cross country course)
  • Any fences that are damaged or seen to be damaged must be reported to the office
  • All accidents must be reported and an accident report completed at the office
  • Dogs must be kept on a lead at all times and are not permitted in any buildings on the property. Dogs are NOT permitted inside any of the cabin accommodation. Anyone found on our premises with their dog running loose will be fined £25 which will be donated to the air ambulance.
  • Pontispool Ltd complies with current legal smoking policies and in addition no smoking is permitted in any cabins, stable yard areas, barns or forage storage areas
  • Accepted entry or booking implies acceptance of the terms & conditions of the competition, clinic, camp or hire of facilities
  • Your online payments go direct to our bank account through a secure payment service provider
  • Online payments will receive a confirmation of payment by email within 5 minutes of making the payment. Please contact us if you do not receive an email for any reason on the details given below
  • All transactions and online payments are made in £ Pound Sterling
  • All cheques should be made payable to ‘PONTISPOOL LIMITED’
  • Should cheques be returned to us by the bank as ‘unpaid’ we will charge a £10 administration fee
  • Pontispool Ltd shall not be liable in the event that accommodation or advertised facilities and amenities are not available due to circumstances beyond our control (owing to fire damage for example) or the facility is unsuitable for use due to sustained loss of essential services. In these circumstances, all charges paid in advance will be refunded in full but the person/organiser will have no further claim against the owner. There may be occasions when, due to equipment breakdown or interruption of supply (eg. digital signals) a facility may become unavailable for a period. The owner will make every effort to ensure that the facilities are restored and/or an alternative found, however, shall not be held liable if the cause of the interruption of supply is out of their control and reliant on a third party.
  • Discrepancies. In the event of discrepancy between these conditions and any other contents of any schedule, these conditions shall prevail
  • INDIVIDUALS OR GROUPS USING THEIR OWN INSTRUCTORS MUST PROVIDE EVIDENCE OF PUBLIC LIABILITY INSURANCE OF SAID INSTRUCTOR
  • INDIVIDUALS USING THE CROSS COUNTRY COURSE MUST HAVE A NOMINATED PERSON ONSITE WITH KNOWLEDGE OF THEIR WHEREABOUTS

Photography

  • No unauthorised photography or filming is permitted at Pontispool except for private use.
  • Pontispool arrange for professional photographers to be present at many of our events, clinics and camps. By attending, you accept that photography published by out photographers may be made publically available - for example, for purchase on the photographers website and may be used for Pontispool's marketing purposes.

Refund and Cancellations

Unaffiliated events:

Refer to the event schedule for withdrawal policy. If there is no withdrawal policy stated, please refer to the following:

Prior to closing entries (CoE) or 21 days prior to event, whichever occurs first - 100%

Post CoE:
- from CoE to 14 days prior to the first day of competition - 80% refund
- from 13 days to 6 days prior to the first day of competition - 50% refund
- from 5 days to 3 days prior to first day of competition - 30% refund
- from 2 days to start of competition - no refund


Refund and Cancellation Policy for Entries:

  • Administration fees are charged on all cancellations. These are 10% (minimum £3) where credit is issued or 10% (minimum £7.50) where a refund is made. These fees are non-refundable in any circumstances. Credit is valid for 12 months from the date of issue.
  • Monetary Refunds or credit will be issued provided that the cancellation is within the allowed time period or weather conditions are such that the facility in question is unfit for use ie. snow, dense fog, ice or excessive wind speeds and a red alert weather warning for the Taunton area has been issued by the Met Office
  • Refunds in kind will only be allowed in special circumstances and are at the complete discretion of the Organiser and may incur an additional administration fee
  • Refunds in kind from withdrawals are not provided unless in special circumstances. A vet certificate may be requested and refunds in these circumstances are entirely at the discretion of the organiser and may incur an additional administration fee
  • If an event organised by Pontispool Limited has to be cancelled for reasons beyond our control then the rider will be offered the option to carry through their entries/payments for entry into another event, space permitting


Refund and Cancellation Policy for Schooling and facility hire:

  • Administration fees are charged on all cancellations. These are 10% (minimum £3) where credit is issued or 10% (minimum £7.50) where a refund is made. These fees are non-refundable in any circumstances. Credit is valid for 12 months from the date of issue.
  • Cancellations made within 24 hours of the selected start time will be issued a credit or refund providing that weather conditions are such that the facility in question is unfit for use ie. snow, dense fog, ice or excessive wind speeds and a red weather warning for the Taunton area has been issued by the Met Office
  • Arena Cross Country. Cancellations made (a) more than 48 hours prior to booked time will receive a full refund less the admin fee; (b) 24-48 hours will receive a 50% refund or full refund less the admin fee providing that the place is subsequently filled; (c) within 24 hours of booked time no refund unless the place is subsequently filled in which case a full refund less the admin fee will be made. Cancellations made due to weather (as above paragraph) will receive a full refund or credit


Refund and Cancellation Policy for stabling and accommodation:

  • Administration fees are charged on all cancellations. These are 10% (minimum £3) where credit is issued or 10% (minimum £7.50) where a refund is made. These fees are non-refundable in any circumstances. Credit is valid for 12 months from the date of issue.
  • 50% refund will be made if cancelled 24-48 hours before booked time
  • Cancellations made within 24 hours of the selected start time will be issued a credit or refund providing that weather conditions are such that the facility in question is unfit for use ie. snow, dense fog, ice or excessive wind speeds and a red weather warning for the Taunton area has been issued by the Met Office
  • If the stable or accommodation is booked for an event which is cancelled, and providing that the facility has not been used, a full refund or credit will be issued


Refund and Cancellation Policy and additional terms and conditions for Adult Horse Camps:

  • All bookings require a deposit. The deposit is non-refundable in any circumstances
  • The balance payment is due 6 weeks prior to camp – non-payment will result in the cancellation of your place
  • Cancellations made 28 days or more prior to camp will be issued a full refund, less deposit
  • Cancellations between 28 and 5 days prior to camp will be issued a 50% refund, less deposit unless place can be filled from waiting list, then a full refund, less deposit, will be issued
  • Cancellation 5 days or less prior to camp, no refund
  • Should the instructors have any doubt about the safety of a person due to capability, faulty tack/equipment or any other reason, the instructor may refuse to allow that person to take part until they are satisfied with the amendments made
  • No persons under the age of 18 are permitted to attend Pontispool Adult Horse Camps
  • Up-graded accommodation in The Mews must be paid for in full at time of booking. Administration fees are charged on all cancellations (a minimum of 10%) if place filled from waiting list. No refund will be issued if place cannot be filled.


Refund and Cancellation Policy for Clinics & Training:

  • Administration fees are charged on all cancellations. These are 10% (minimum £3) where credit is issued or 10% (minimum £7.50) where a refund is made. These fees are non-refundable in any circumstances. Credit is valid for 12 months from the date of issue.
  • Cancellations between 14 and 2 days prior to clinic will be issued a 90% refund (minus administration fees) if replaced from waiting list. If not replaced from waiting list a refund will be issued at the owner’s discretion
  • Cancellation made within 48 hours prior to clinic, no refund.
  • Cancellations made within 24 hours of the clinic will be issued a credit or refund providing that weather conditions are such that the facility in question is unfit for use ie. snow, dense fog, ice or excessive wind speeds and a red weather warning for the Taunton area has been issued by the Met Office
  • Should the instructors have any doubt about the safety of a person due to capability, faulty tack/equipment or any other reason, the instructor may refuse to allow that person to take part until they are satisfied with the amendments made


Credit Expiration

Where a cancellation results in a credit being placed on your account, the credit must be used within 12 months of issue. After this point, credit is removed from your account.

Electrical Vehicle Charging Policy

1. About this policy

1.1 This policy sets out how Electric Vehicles (EV) should be recharged while at Pontispool and the responsibilities of EV owners in respect of safe charging.

1.2 Any reference to "Pontispool" in this policy is a reference to the whole property including any grounds, accommodation, outbuildings or communal spaces.

1.3 This policy forms part of our Terms & Conditions. A breach of this policy will constitute a breach of the contract between us.

2. Who does this policy apply to?

2.1 This policy applies to all clients and such other visitors of Pontispool. It shall be the responsibility of the client to inform all members of their party and any visitors of this policy.

3. What is an Electric Vehicle?

3.1 For the purpose of this policy an EV is any vehicle that uses electric motors, either fully or partially, to drive its wheels. It will derive some or all its power from rechargeable batteries which requires connection to the electricity grid (plug-in). This includes fully chargeable and plug-in hybrid cars, motorbikes, buggies, scooters, mopeds, bicycles, utility vehicles and tracked vehicles.

4. Domestic chargers are not permitted at Pontispool

4.1 Most EVs are supplied with a domestic charger, commonly known as a 'granny charger' or a ‘trickle charger’. These cables recharge the EV using a domestic power source via a 3-pin wall socket.

4.2 Domestic chargers are not suitable for use at Pontispool and will create a fire hazard. The use of domestic chargers is strictly forbidden.

4.3 We retain the right to carry out reasonable inspection, on a without notice basis, to ensure that granny chargers are not in use at Pontispool. A fee may be payable.

4.4 You are solely liable for any damage or loss suffered by us as a result of your unauthorised use of domestic chargers.

4.5 We do not currently have on-site charging facilities at Pontispool and you must make your own arrangements for EV charging.

All our website financial transactions are handled through our payment services provider, PayVector.
